Rate Quotations

The Rate Quotations module was designed to quickly create a rate quotation for a customer based on your defined product tariffs. This module interfaces with the Freight Billing module and the Master File route tables. The interface to Freight Billing insures that new loads that have been quoted will be displayed during the rating process.

Dispatch

The Dispatch module will allow for effortless creation of detailed delivery tickets including site-specific information for every producer and consignee. Dispatchers will be provided the tools required to manage their resources and open orders. Complete DOT required product titles and ER guide numbers printed on all delivery tickets. Select one drop down menu to automatically complete the entire bill. Dispatch never leaves this screen. All bill elements such as driver, truck, origin, destination etc. can be added to the system “on-the-fly”. Driver compliance is assured via link to compliance tables. Expiration warnings can be set on all driver and equipment permits and licenses thus ensuring compliance! Auto clone feature allows you to make multiple copies of the current bill and all details. Auto-create freight bill feature allows dispatch to shuffle and arrange open orders to available resources and then with the click of a button create all the associated freight bills.

Freight Billing

The Freight Billing module enforces all your business rules on the completed freight bill and then creates an invoice in multiple formats as defined by your customer. EDI, Excel or paper you define the invoice format at the customer level. All modules have the same great “add on the fly” functionality as dispatch. Add a rate, route, customer or any required entity from the main freight bill screen! Advanced business logic such as no rate and low rate thresholds warnings and non compliance issues result in emails automatically being sent to the person responsible for each area. Bottom line real time data generates real time warnings to real people in order to resolve an issue sooner than later.

The automatic freight and product sales rating routines can be created and utilized to rate a load many different ways ie. Loaded miles, flat rate, per ton, per gallon etc. Built in logic routines enforce business rules and validation prior to posting the order. In short you can rest assured that your will bill your customers correctly every time.
The system automatically creates the bills mileage via the creation of a series of legs such as first deadhead, line haul and second deadhead.
Driver can be paid any number of ways, mileage, zone, hourly, percentage of revenue or any combination. This can all be defined at the driver level making driver payment automatic and effortless.

New features now include a Product Sales and Rating routine which will now facilitate the sale of products as well as charging for the freight for a load. Taxes paid to the supplier will automatically be transferred to the end purchaser of the product. You can see all transactions, receipts and distributions on one screen allowing for clear and accurate generation of both the invoice for the products sold as well as the creation of AP vouchers for purchase of the fuel. All the hassles of state reporting are taken care of by storing the appropriate data for each transaction.

Add or edit all delivery ticket information such as customer, producer or consignee information including detailed pickup and delivery instructions. The multi-tabbed screen format make it easy to quickly view all aspects of the freight bill. The screen has (5) five main sections; the header, the products screen, the rating screen, the mileage screen and the drivers pay screen.

Find, View, Print, Fax or Email any freight bill and all associated field documents such as Freight Bill, Delivery Ticket, Bill of Lading, Weight Tickets with one click of the mouse.

Vehicle Maintenance

The Vehicle Maintenance module combines the both work order entry and preventative maintenance to cover all your VM needs. Advanced inquiry screens let you predict which vehicles need to be scheduled for service accurately and within any time period you specify. This module is integrated into the equipment master files so an equipments service history is only a click away. Inventory of parts is maintained in this system as well. Written for mechanics not accountants this module works with your mechanics needs in mind. Integrated with the PO and AP program to facilitate inventory management.

Driver Compliance Module
The Driver Compliance module ensuring that your drivers and equipment are in compliance with the various requirements of DOT such as Hazwoper, HM126, CDL, Equipment Permits, Visual and Physical Inspections. Includes random sample generator and results tracking and reporting. Integrated with Dispatch so no equipment or drivers are dispatched who are not complaint, period. Now with user definable compliance elements.

Financial Analysis Module
The Financial Analysis module brings all the module data together to create a profitability portal into your business. You can view profitability to the load level based on truck, terminal, customer, commodity or route. The fleet business analysis report gathers all actual revenue and expenses for all units in the fleet. Quickly and easily see who’s making money and who isn’t. This is real time data with real data no overhead values are fixed, all are created at run time. Lease Settlement Module

Insurance Management Module
This module handles all the duties associated with providing medical and dental insurance to your employees and lease operators. Automatic global premium adjustment routine is integrated to Payroll for easy handling of all payroll deductions.

Accident Module
This module tracks all information regarding an accident. Easily document correspondence with insurance companies, payments and expenses associated with accident. DOT required reports are built-in. Even tracks citations.

Fuel and Oil Management
This module is used to track all fuel purchases for use with IFTA reporting and settlements with Lease Operators. Complete all IFTA reports in minutes not hours. This module is also used to track oil usage and facilitates charge back of oil expenses to lease operators.

Master Files Module
This module has add or edit entry forms for all the master files such as Drivers, Routes, Equipment, Customers, Producers, Consignees, Products etc. Each screen has multiple tabs which allow a quick look at the activity associated with the object such as invoice history for a customer or load history for a driver or truck. Each object also has a set of  “quick reports” which can be viewed from the entry screen eliminating the need to go out to the main menu and come back in through reporting.

Reporting Module
This module has over 200 built in reports for looking in detail at your business. These are separate from the over 300 accounting reports! Most of the reports have easy entry set-up forms, which allow adjustment of date ranges and other report criteria.

Extended General Ledger
Customizable GL structure allows easy departmental financials in a addition to a consolidated financial statements.
